Do you want to work at the heart of heritage and help to facilitate its future? The Heritage Alliance is looking for a part time Office Manager and Administrator for its small friendly office based on Ludgate Hill.  The role is for 2.5 days per week.

This role will cover office management and administration, diary and office systems management, personal assistant support to the CEO, management of office equipment, post and supplies, helping with day to day queries, support for events and management of digital and physical filing systems.

Job Description:

Temporary Position 0.5 FTE (17.5 hours/week)

Start Date: As soon as possible

Rate of Pay: £15 per hour

Leave: 24 days FTE per annum pro-rata, plus bank holidays and the Heritage Alliance Office closes between Christmas and New Year.

Line Manager: Initially Head of Development and Membership then Finance Manager

Place of Work: The Heritage Alliance Office, Central London, EC4M (Flexible working arrangements can be considered)

Key Competences

  • A team player with experience of managing administrative processes for a small team.
  • A responsible, reliable and well organised self starter with great attention to detail.
  • Well developed IT skills, particularly in Microsoft Office Word, Excel and Outlook. Knowledge of Microsoft Office 365 and Sharepoint would be a benefit.
  • Experience of CRM systems (e.g. Salesforce) would be a benefit.
  • Excellent communication skills, both written and verbal.
  • Experience of diary management and meeting and event administration.
  • Ability to work in a flexible manner, to work well on own initiative and within a small team.
  • Ability to build strong relationships both internally and externally.

Key Tasks

  • Maintain and manage the administration of office systems – paper and electronic (Microsoft 365) including management of electronic filing.
  • Personal Assistant support to the CEO.
  • Diary support for the Board Secretary and for the Chair and senior staff.
  • Manage relationships with our IT suppliers, including acting as a point of contact with the IT consultant and to trouble-shoot simple IT problems.
  • Manage relationships with our landlord and responsibility for the physical office space.
  • Manage office equipment and supplies and ensuring that all office equipment is maintained properly.
  • Management of incoming and outgoing post.
  • Creation and management of the joint office diary and bookings in the nave.
  • Support the maintenance of our CRM (Salesforce) and other contacts databases with the membership and development officer.
  • Support meetings/event logistics and administration including our annual Heritage Day conference.
  • To provide office support, including answering the phone, taking messages, and replying to enquiry emails.
